Astound Solution for Jira and Slack

Astound provides a feature-rich solution for using Jira and Slack together. Beyond a simple integration of Slack and Jira, the Astound solution offers the ability to:

  • Create Slack channels specific to given issues or requests from within Jira
  • Create Jira issues and associated Slack channels from Slack
  • Update Jira issues from Slack

Configuration of Astound Solution for Jira and Slack

Overview of Installation and Configuration Process

The implementation of the Astound Solution for Jira and Slack is made up of two separate apps, Astound for Jira and Astound for Slack, that you install from the Slack and Jira app marketplaces. These steps are typically performed by a Jira administrator and a Slack administrator. Once those two apps are installed, the apps are linked together for the full solution.

  1. In the Astound console, the Astound administrator with Slack administrator privileges:
    • Enters Jira instance information
    • Enters the Slack URL and logs in to Slack from inside the Astound console
  2. In Jira, the Jira administrator:
    • Installs Astound for Slack from the Jira Apps Marketplace
    • Enters the API Key provided by Astound
  3. In Slack, end users such as service desk agents link their Slack accounts to their Jira accounts.

Once an end user has linked their Slack account to their Jira account, the user can use Astound commands from either Jira or Slack.

Prerequisite

The administrator who configures Slack and Jira with Astound will become a member of every Slack channel created by Astound. For this reason, you should create a dedicated Slack/Jira administrator account in both Jira and Slack specifically for this purpose. You can give this user any name you want.

Configure Jira in the Astound Console

  1. Please contact the Astound support team at support@astound.ai for access to the Astound Console.
  2. Log in to the Astound Console with the credentials provided by the support team. Click the Manage button of the Integrations card on the home page.
  3. Click the Configure button of the Jira card.
  4. Enter the Jira instance name and URL.
  5. Save your changes.
  6. Click Home to navigate back to the home page.

Configure Slack in the Astound Console

  1. On the Integrations card, click Manage.
  2. Click Authenticate in the Slack card.
  3. Enter the URL for the Slack workspace with which the app will be integrated.
  4. Click Authorize to allow Astound to have the listed privileges in the Slack workspace. This step automatically installs the Astound for Jira app from the Slack marketplace into your workspace, where it will be available to all users in the workspace.
  5. The Astound for Jira app will be visible in the Slack workspace.

Configuration on Jira instance

In this section, you install the Astound for Slack app from the Atlassian Marketplace. The steps you use to get to the marketplace may vary depending on your Jira setup.

  1. Contact your Astound representative to get your API key. This is a unique token that allows Jira to call the Astound APIs.
  2. Log in to your Jira instance as an administrator.
  3. Click the Gear button on the top right corner to get the Jira ADMINISTRATION menu.
  4. Click Add-ons.
  5. Search for the app called “Astound for Slack”.
  6. Install the app according to the instructions on your screen.
  7. In Jira, select Astound Configuration under OTHER on the sidebar menu.
  8. Enter the API key (token) from the Astound team and click Save.

Linking the Jira and Slack Accounts

End users such as service desk agents, managers, and others link their Slack accounts to their Jira accounts through Astound. After users link their Slack accounts to Jira, they can use Astound commands from either Slack or Jira.

  1. Sign in to the Slack workspace in which the Astound for Jira app has been installed.
  2. Go to the Astound for Jira conversation under Apps and enter “@Astound for Jira new ticket”. You will be asked to click a link to authenticate with Jira.
  3. Authorize Astound in Jira.
  4. Authorize Astound for Jira on Astound.
  5. Now the user account has been successfully linked between Slack and Jira, and you can start using Slack to create Jira issues.

Using the Astound Solution for Jira and Slack

You can do a number of operations with the Astound Solution for Jira and Slack. For example, you can create a new Jira issue from Slack, and you can create a dedicated Slack channel for a specific Jira issue.

Creating a Jira issue and a dedicated Slack channel from Slack

You can create a Jira issue from the Astound for Jira channel in Slack or from any channel or thread. If you use the Astound for Jira channel, typing “@Astound for Jira“ is optional.

  1. Open the Astound for Jira channel in Slack and type “@Astound for Jira new ticket” or simply “new ticket”.
  2. Astound provides a popup window for the issue type. Select the issue type.
  3. Enter values for Summary, Description, and Priority, and choose the Channel option to share in a dedicated channel on Slack. If you are doing this step from within a channel other than Astound for Jira, you also have the option to share within a thread instead of creating a channel.
  4. Click the Create button for the channel to be created.
  5. Astound creates the related channel based on the given details.
  6. Astound also creates the issue in Jira with the same ID.

Viewing the related Slack channel from a Jira issue

  1. Open any issue in Jira that has been integrated with Slack.
  2. Click the Slack Channel Link under Issue Links below the issue description.

  4. The link opens the dedicated channel in Slack if you are a member of the channel.

Viewing details of an issue from Slack

  1. Go to the Slack channel for which you want to see details.
  2. To view the complete details of an issue enter “@Astound for Jira status”
  3. You can view Summary, Description, Type, Priority, Status, Resolution, Assignee and Updated (time in UTC).

Updating details of an issue from the Slack channel for the issue

You can update the status, priority, assignee, and description of an issue from the Slack channel for that issue.

  1. Open the Slack channel for the selected issue.
  2. To update the Assignee of the issue, type “@Astound for Jira update assignee”.
  3. A drop-down box appears. Select the assignee.
  4. The complete details of the issue appear.
  5. To change the status of the issue, type “@Astound for Jira update status”.
  6. A button appears based on the status.
  7. Click the button.
  8. The complete details of the issue appear.
  9. To Change the priority of the issue, type “@Astound for Jira update priority”.
  10. A drop-down box appears. Choose the priority.
  11. The complete details of the issue appear.
  12. To Change the description of the issue type “@Astound for Jira update description”
  13. An Update description button appears with the message “Click to update description”
  14. Click the Update description button. A text field appears as a popup.
  15. Enter the required description and click Update.
  16. Astound displays the updated details.

Creating a Slack channel for a specific Jira issue

  1. In Jira, create an issue by entering the summary and description.
  2. Open the issue.
  3. Click More and click Share in Slack
  4. Astound creates a private channel on Slack with the administrator, assignee (if any), issue creator, and Astound app as members. Click the Slack Channel link under Issue Links to go to the Slack channel.
